GENERAL POSITION DESCRIPTION:
Provide administrative support to the Division Chair of the Visual & Performing Arts Department by performing a wide variety of complex secretarial, clerical, and technical responsibilities. Employee will also serve as the first contact for Visual & Performing Arts, providing superior customer service when responding to phone calls and walk-ins from staff, students, and the public. This position reports to the Division Chair of Visual & Performing Arts and exercises no supervision. NOTE: This is a security sensitive position and an appropriate background investigation will be made on applicants being strongly considered for this position.
MINIMUM QUALIFICATION REQUIREMENTS:
Education: High School Diploma or GED
Experience: More than one year of work experience in a secretarial environment.
Knowledge of: 1. Proper English usage, grammar, spelling, and punctuation. 2. Principles and practices of confidential records management and file maintenance, both physical and electronic. 3. Pertinent Federal, State, and college laws, rules, and regulations. 4. Operating various electronic equipment, such as computers, scanners, copiers, recording devices, etc. 5. Budgeting practices. Skills in: 6. Work independently without close supervision using critical thinking skills. 7. Proficiency with Microsoft applications, internal software, and assistive devices and software. 8. Communicating clearly and concisely, both verbally and in writing. 9. Basic record keeping, correspondence, and proofreading. Ability to: 10. Execute superior customer services when dealing with diverse populations. 11. Create and maintain accurate records and reports. 12. Learn new software quickly and stay abreast of new software applications. 13. Perform responsible and sometimes difficult secretarial work involving the use of independent judgment. 14. Read and follow oral and written instructions. 15. Organize and prioritize projects to meet deadlines. 16. Establish and maintain effective working relationships with those in contact in the course of work.
Sedentary-desk work; occasional field trips e.g. for college or program activities. Minimal Hazard/Exposure-standard office setting. At least minimal environmental controls are in place to assure health and comfort.
